Help & FAQ

Everything you need to know about using The Clubhouse.

Getting Started

What is The Clubhouse?
The Clubhouse is a free management platform for golf societies. It handles fixtures, scorecards, leaderboards, handicaps, competitions, payments, and communications — so your committee can spend less time on admin and more time on the course.
How do I join a society?
You’ll need an invitation link or email from your society’s admin. Click the link, sign up with your email, and you’re in. Some societies also have a public join link that anyone can use.
What’s the difference between a member and a supporter?
Members are full golf society members — they have a handicap, can register for fixtures, submit scorecards, and appear on the leaderboard. Supporters can take part in competitions like Last Man Standing but don’t need a handicap or scorecards.

Fixtures & Scorecards

How do I register for a fixture?
Go to the Fixtures page and tap the upcoming fixture you want to play in. Hit “Register” and you’re confirmed. If payment is required, you’ll be prompted to pay by card during registration.
How do I submit my scorecard?
After a fixture, go to your fixture page and tap “Submit Scorecard”. Enter your hole-by-hole scores — the platform calculates your Stableford points automatically. You can also submit on behalf of your playing partners.
How is the leaderboard calculated?
The leaderboard uses the Stableford scoring system. Your handicap is applied to each hole based on the course’s stroke index. Points are awarded per hole (0 for double bogey or worse, up to 5+ for albatross). The Order of Merit tracks your best rounds across the season.

Last Man Standing

How does Last Man Standing work?
Enter the competition by paying the entry fee. Each Premier League gameweek, you pick one team to win their match. If your team wins, you survive. If they draw or lose, you’re eliminated. Last person standing wins the pot. You can’t pick the same team twice in the same competition.
When do I need to pick my team by?
You must submit your pick before the first match of the gameweek kicks off. You’ll receive reminder notifications at 48 hours, 24 hours, and 3 hours before the deadline.
What happens if I forget to pick?
If your society has auto-pick enabled, the system will randomly assign you a team from the available options. If auto-pick is not enabled, you’ll be eliminated for not making a selection.
Can I use the same team twice?
No. Once you’ve picked a team in a competition, you cannot pick them again. Choose wisely — you need to make your picks last the full season.

Payments

How do I pay for a fixture or competition?
When you register for a fixture or enter a competition that requires payment, you’ll be prompted to pay by card. Payments are processed securely through Stripe. Your society’s treasurer receives the funds directly.
How do refunds work?
Refunds are managed by your society’s committee. Contact your society treasurer or admin to request a refund. Once approved, refunds are processed through Stripe and typically arrive within 5–10 business days.

Account

How do I change my handicap?
Your handicap is managed by your society’s admin. Contact them to request an adjustment. Admins can update handicaps from the Members section of the admin dashboard.
How do I enable push notifications?
Go to My Settings from the menu. Under Notifications, toggle on push notifications and allow them when your browser asks. You’ll receive alerts for fixture reminders, scorecard results, competition updates, and more.
How do I contact support?
For questions about your society (fixtures, payments, membership), contact your society admin directly. For platform issues or general enquiries, email us at hello@theclubhouse.software.
